As an administrator in the company, you have the ability to begin and end analysis periods. At the start of each new reporting year, you'll receive an email to initiate the new year of analysis, and you can follow the instructions provided to get started.
When you log in to the platform as an admin, you'll be directed to the Admin Panel where you'll have control over actions, such as updating users and data holders, as well as accessing other admin-only tools and pages.
You'll find the Current Reporting Year Progress panel on your screen, which displays the steps required to complete the analysis period.

This guide will help you to complete the steps needed to complete an analysis year.
We assume the employee list is up to date — with former employees removed, new hires added, and all email addresses double-checked (e.g., updates due to name changes after marriage or migration to a different email domain). If this isn't the case, you can click the "I need to add employees" button or ask the HR data holder to upload the necessary data.

When this is done, you're ready to start the process.
When you click to begin your task, you'll see the Admin onboarding panel.

Select the timeframe within which you wish to complete the carbon assessment. This will set a due date for data holders to complete data entry for their respective categories.
We recommend 4-6 weeks to complete this data, but this can be adjusted to fit internal timelines.

For each category of data, you will need to confirm the data holders by adding anyone new, or removing anyone you don't want to be responsible this reporting year.
If you add a new Data Holder, they will receive an email informing them that they have been added as a Data Holder.

Data Holders can be added or removed at any time in the future by adjusting them in the Admin Panel > Data Holder section.

Once you are happy with the Data Holders, you're ready to move to Stage 3.

Once you send the email to employees, you will begin the data collection process.
When you send the new year email, it will invite all the Data Holders to upload and complete their data for the Reporting Period.
After this date, the Data Holders will be sent an automated follow up email each week until the data is completed.
If you leave the 'Do you want to send an email to all employees' box checked, it will invite all the current users to confirm their individual data for the Reporting Period, and will invite employees who have never logged in to complete the onboarding process.
If you uncheck this box you will need to manually send this email at a later moment.

Once you have completed this onboarding panel, your progress will be shown in the Current Reporting Year Progress panel.
The Current Reporting Year Progress panel displays your due date, the status of company data uploads by data holders, and the progress of employee data submission.
Data Holders must complete 100% of the data upload to complete the analysis.
66% of Employees must complete the employee data upload to complete the analysis.
Once you meet the completion threshold value, you'll be able to book a summary call. You can do this by clicking Step 4 and selecting a timeslot from the calendar.

We recommend between 4-6 weeks to complete the data upload to generate some urgency, but also allowing for users on holiday or busy with other tasks to complete them.
The data upload itself will take ~5 minutes for employees, and under 30 minutes for most Data Holders so there should be no issue in meeting the decided deadline.
